Roofing support for community and property managers

You answer to boards, owners and residents across a whole portfolio. We give you one roofer, one process and paperwork that's ready before you ask for it.

One roofer across your portfolio

Most managers inherit a patchwork: a different roofer at every community, warranties in someone's old email, and no record of what was fixed last year. We replace that with a single relationship and a record for every roof you manage.

  • A roof record for each building: system, approximate age, size, warranty details, past repairs and photos, kept current after every visit.
  • One point of contact who knows your communities, your boards and how each one approves work.
  • Consistent proposals in the same format at every property, so boards see familiar line items and you can compare costs across your portfolio.
  • Every system we're likely to find: TPO, EPDM, built-up, metal and spray foam on apartments, condos, townhome communities and mixed-use buildings.

We're based in Centennial and work within about 30 miles of Denver, so the same team that maintains your roofs is around for warranty calls years later.

Getting a new portfolio set up

When a manager brings us several communities at once, we start with a baseline so nothing depends on memory:

  • A property list from you: addresses, building counts, access contacts, gate or roof hatch keys, and any existing warranties or roof reports.
  • A baseline inspection of each roof, with drone photos where roofs are hard to reach safely.
  • A roof record for each building, shared with you, so the next person in your office can pick it up without starting over.
  • A maintenance calendar grouping properties by area, so spring and fall visits run efficiently.
  • Approval limits and contacts for each community, so we know when to fix on the spot and when to send a proposal first.

From there, the portfolio runs on a routine: scheduled visits, reports after each one, and leak calls handled the same way at every property.

When a leak call comes in

A leak call usually reaches you as a resident email about a ceiling stain. Here's how we take it from there:

  1. You report it

Call (720) 296-0000 or use our leak report form. Include the building, unit, where the water shows up and when it started. If water is actively coming in, call us first.

  2. We triage

We confirm access, ask whether the leak follows rain, snowmelt or wind, and check the roof record for past repairs and warranty coverage.

  3. We find the source

Water travels, so the source is often well away from the stain. We trace it on the roof and photograph what we find.

  4. We protect or repair

Small repairs are often completed on the first visit when the scope is within your approval limit. Larger work gets a temporary fix and a written proposal.

  5. You get the report

Photos of the cause and the repair, a plain-language note and an invoice that matches the work, ready to forward to the board, owner or resident.

For non-urgent requests we reply within one business day. If a leak is under warranty, we'll tell you, and we'll coordinate with the manufacturer when their involvement is required.

Telling residents what to do. Ask them to move belongings away from the drip, catch the water, photograph the ceiling and note the time. Water near light fixtures or electrical outlets is a safety issue: the resident should stay clear, and the circuit may need to be shut off.

Maintenance across properties

Most leak calls are preventable. Clogged drains, open seams and loose flashings show up long before water reaches a unit. Our S.M.a.R.T. program (Service, Maintenance and Repair with Truman) puts every roof on a schedule, with visits twice a year as NRCA recommends, plus after severe weather.

LevelWhat's includedOften a good fit for
Level 1: Clear & CheckDrain and gutter cleaning, visual inspection, reportNewer roofs under warranty
Level 2: Clear & RepairLevel 1, plus debris removal and small general repairsMid-life roofs with recurring minor issues
Level 3: Survey & RepairLevel 2, plus a full inspection, roof survey and medium general repairsOlder roofs and communities planning replacements

Different communities can sit at different levels. We schedule visits by area so a spring and fall round covers your whole portfolio, and we work around snow removal, landscaping and pool season. Hail season runs roughly mid-April to mid-August, so a post-storm check is often worth adding in summer.

Reporting to boards and owners

Your board meets once a month or once a quarter. Our reports are written for that meeting:

  • A one-page summary per community: what we found, what we fixed and what needs a decision.
  • Labeled photos by building, so a board member can match each finding to a roof.
  • Prioritized recommendations: urgent, within the year, and plan for later.
  • Remaining-life estimates and budget ranges for the next capital cycle.
  • Warranty status and any maintenance the manufacturer requires to keep it valid.

For apartment and mixed-use owners, we can format the same information for an asset manager or lender: roof condition by building, capital needs by year and documented repairs.

We can attend a board meeting, in person or by video, to present findings and answer questions so you don't have to translate roofing details secondhand.

Vendor compliance, ready when you need it

Chasing a vendor's insurance certificate is nobody's favorite task. We keep these on file and send updates when they renew:

  • Certificates of insurance showing $2M general liability, a $5M umbrella and workers' comp on every employee, with the association and management company named as certificate holders or additional insureds on request
  • A current W-9 for your accounting team
  • A Class-A general contractor license and commercial roofing licensing along the Front Range, plus city contractor licenses where a jurisdiction requires them
  • Bonding capacity over $1M for projects that require a bond
  • NRCA membership and Denver and regional MBE, DBE, EBE and SBE certifications
  • Our safety program and site safety plans for occupied buildings

If your company uses a vendor-compliance portal, we'll upload documents there directly.

Budgeting help

Budget season is when roofing surprises get expensive. We help you avoid them:

  • Annual operating budgets: a realistic maintenance and repair allowance for each community, based on its roofs' age and condition.
  • Reserve study input: roof areas, systems, condition and remaining-life ranges your reserve specialist can use. See our reserve planning guide.
  • Repair-versus-replace analysis, backed by moisture data from an infrared survey where the roof is low-slope.
  • Phasing options that spread replacements across budget years without leaving the worst roofs to the end.
  • Cost drivers explained: tear-off, insulation requirements, access, membrane or panel choice and warranty level. See commercial roof cost factors.

Our estimating is led by Andrew Rickert, a CPA and Class-A licensed contractor who has been with Truman since 2009. The person pricing your roof also understands the budget it has to fit.

Property manager FAQs

Can we set an approval limit for leak repairs?

Yes. Tell us the dollar limit for each community. We'll complete repairs under it on the first visit and send a proposal for anything above it.

Do you work on all of our properties, or only certain roof types?

We work on low-slope and steep-slope roofs across apartments, condos, townhome communities and mixed-use buildings within about 30 miles of Denver. If a roof is outside what we do, we'll say so.

Can you name our company and the association on the insurance certificate?

Yes. Send the exact names and any wording your contracts require, and we'll have the certificate issued.

What if a leak starts after hours?

If water is coming in, call us first and we'll get the building protected as quickly as we can.

Will you coordinate with our board directly?

Only as much as you want. Some managers prefer we present to the board; others want everything to go through them. We follow your lead.

How do you invoice?

By community and work order, with photos and a description that matches the approved scope, so your accounting team can code it without follow-up questions.
